A guide to the core workflows implemented in Spendle. Available actions depend on your role and organization configuration.

Expense reports and attachments

Reports group business expenses with the details and documents that support them. Complete the relevant business purpose, dates and expense information, attach readable receipts, and review the entries before submitting. Special reports support the corresponding special-request workflows. A report is a business record; submitting it does not directly reimburse an employee.

Travel and special requests

Spendle includes request workflows for business travel, internal travel and special requests. Start with the appropriate request type, enter the proposed details and submit for review. Some approved requests generate a draft report, keeping the request and subsequent expense reporting connected. Use the report to complete the actual spending record.

Review and modification decisions

Authorized reviewers inspect the record and its supporting evidence, then approve, reject or request modifications. A reason is required for rejection and modification requests in the request workflow. Employees should use that reason to understand what must change before resubmitting.

Reviewers should confirm the business context, supporting documents and compliance with organizational policy. Approval is a workflow decision; finance handles payment and accounting through existing processes.

Per diem and currencies

Administrators can maintain per diem settings used in travel workflows. Spendle also provides currency-conversion functionality through its configured exchange-rate service. Check the applicable rate, dates, currencies and totals against your organization’s policy before approving a record. Exchange-rate provider access is part of backend deployment configuration.

Administration and audit records

  • Users: manage account details and access using the administrator tools. Assign roles deliberately and review access when employees join, change roles or leave.
  • Configuration: maintain organization-specific application settings and per diem information.
  • Audit: inspect audit records for operational oversight and investigate relevant changes or actions.
  • Provisioning: provide trusted mobile connection configuration for your own backend and identity provider.

Finance and data management
